These Terms & Conditions ("Terms") govern your use of the KF Books website and accounting/invoicing platform (the "Service"), operated by KF Books. By visiting this website, creating an account, or using the Service, you agree to these Terms. If you don't agree, please don't use the Service.
1. About the Service
KF Books is a tool that helps small businesses create and manage their own quotes, invoices, customer records, expense records, and inventory. It is provided for record-keeping and administrative convenience only and does not constitute accounting, tax, legal, or financial advice. We are not your accountant or auditor. You remain solely responsible for the accuracy of the information you enter, for your own tax, VAT, and other regulatory compliance, and for reviewing any document the Service generates before relying on it or sending it to a third party.
2. Accounts
To use the Service you must apply, be approved, and pay for a subscription plan. You're responsible for keeping your login credentials confidential and for everything that happens under your account, including actions taken by any staff member you invite.
3. Subscription Plans & Billing
Plans, pricing, and billing intervals are shown on our pricing page and confirmed in the subscription contract you sign during onboarding. Fees are billed in advance and are due before your account is activated or renewed. We may change prices for future billing periods, with at least 30 days' notice by email before a change takes effect on your account.
4. Acceptable Use
You agree not to use the Service to break the law, to commit or facilitate fraud, to store or transmit unlawful content, or to attempt to gain unauthorised access to any part of the Service, another tenant's data, or our infrastructure. We may suspend or terminate accounts that violate this section immediately, without notice.
5. Your Content & Data
You retain ownership of the business data you enter into the Service — your invoices, customer records, expenses, and similar content. We don't claim ownership of it and only use it to provide the Service to you. See our Privacy Policy for how we handle personal information.
6. Intellectual Property
The Service itself — its software, design, and branding — is owned by KF Books (or its licensors) and protected by intellectual property law. Your subscription grants you a limited, non-exclusive, non-transferable right to use the Service for your own business for as long as your subscription is active. Nothing in these Terms transfers ownership of the Service to you.
7. Service Availability
The Service is provided "as is" and "as available," without warranty of any kind, express or implied, including any warranty that it will be error-free, uninterrupted, or fit for a particular purpose. We don't guarantee a specific level of uptime.
8. Limitation of Liability
To the maximum extent permitted by law, our total liability to you arising out of or in connection with these Terms or the Service, whether in contract, delict, or otherwise, is limited to the total subscription fees you paid in the 3 months immediately preceding the event giving rise to the claim. We won't be liable for any indirect, special, incidental, or consequential loss, including loss of profit, revenue, business, or data. Nothing here limits liability that can't lawfully be limited or excluded, such as liability for gross negligence or fraud.
9. Termination & Cancellation
Either party may cancel with 30 days' written notice. We may suspend or terminate your access immediately if a payment is overdue, if you breach these Terms, or if we reasonably believe your account is being used unlawfully or to commit fraud. 10. Changes to These Terms
We may update these Terms from time to time. Where a change is material, we'll give existing clients reasonable notice by email; continued use of the Service after that notice means you accept the updated Terms.
11. Governing Law
These Terms are governed by the laws of South Africa, and the parties submit to the jurisdiction of the South African courts.
